Common questions and practical tips to get the most from the SCOTSMAN® App
Getting Started
I’ve registered — what should I do first?
Start by completing the Foundation Training. This is required before you can access the full functionality of the SCOTSMAN® App. You’ll find it under the Academy link in the main menu.
The training is designed to ensure you understand the guiding principles of SCOTSMAN® qualification. It’s not what you might expect — this isn’t a generic onboarding or product tour. Instead, it focuses on how to think critically about deal qualification and apply the SCOTSMAN® approach in real sales situations.
I didn’t get my login email — what should I do?
If you haven’t received your login email, don’t worry — you can reset your access using the Forgot Password option at www.scotsman.app. Just enter your work email address, and you’ll be sent a new link to log in.

Managing Opportunities
How do I create a new opportunity?
To add a new opportunity, go to the Opportunities section from your dashboard and click the “Add Opportunity” button.
You’ll then be able to enter key information about the deal and begin working through the SCOTSMAN® qualification form.
What does the SCOTSMAN® score mean?
The SCOTSMAN® score is a representation of the work still needed on an opportunity — it’s not a simple “higher is worse” or linear scoring system.
Each SCOTSMAN® section is scored as follows:
- 0 (Green): For now, there’s no more work to do in this area
- 1 (Amber): There’s missing data, but no showstoppers
- 10 (Red): There is at least one potential showstopper in this section
With eight SCOTSMAN® areas, the total score can range from 0 to 80.
- A score of 4, for example, means you’ve identified four areas where data is missing (amber), and four areas where no further work is needed right now (green). That sounds good — but it also means you don’t yet know if any of those missing areas are critical.
- A score of 20 might reflect two areas with potential showstoppers (red) and six green sections. While the score is higher, the problems are at least visible — and action can be taken to address them.
The SCOTSMAN® score helps you prioritise your effort. Lower scores mean less is known, not necessarily that the deal is safer.
And remember: green doesn’t mean qualified — it just means you believe there’s no more work right now. Qualification is a continual process. A deal isn’t truly qualified until it’s won.
Can I edit an opportunity after submitting it?
Yes — and you’re expected to. Qualification is not a one-time activity; it’s something you’ll revisit throughout the sales process.
To edit an opportunity, simply click on the opportunity row in your dashboard. This opens the SCOTSMAN® form, where you can review and update your responses as things progress.
Remember:
- Amber scores mean data is still missing — and that’s normal, especially early on.
- Red scores highlight potential showstoppers — not tasks for you to fix, but things that need to be addressed by the customer or others.
- If the customer can’t or won’t take the necessary action, the red remains, and you may reach a quit-point decision.
- In some cases — for example, if an existing supplier is bidding — the issue can’t be resolved. That’s fine, as long as the risk is recognised and planned for.
What do I do when a section scores red or amber?
When a section scores amber (missing information) or red (a potential showstopper), you should add an Action to track what needs to be done.
To do this, click the Actions [+] button at the bottom of the relevant section in the SCOTSMAN® form. Each action has three fields:
- Action (required): What you’re going to do
- Outcome (optional): What you want to happen
- Due Date (optional): When it needs to be done by
You can update or remove actions as things progress. All your open actions are visible in the Actions page from the main menu — and managers can view actions for their entire team from the same place.
This helps you stay focused on the real work needed to move each opportunity forward.
How do I know when a deal is fully qualified?
A deal is only truly qualified when it’s won.
In SCOTSMAN® terms, a section scoring green means that — for now — there’s no more work to do in that area. But qualification is never static. A competitor might reappear. A stakeholder might shift the decision criteria. That’s why qualification is a continual process, not a one-time task.
The SCOTSMAN® App helps you track this through Actions, which identify and monitor the work still needed to move a deal forward.

Users, Teams & Roles
How do I add other users from my team?
To add users, you need to have the Admin role assigned. From the main menu, go to:
Administration → Identity Management → Users
Then click [+ New User] to add a colleague. You can also assign their role at this stage:
- Seller (default): Can manage and edit their own opportunities
- Manager: Can view opportunities for users in their team
- Admin: Has access to user management and question profile configuration
Added users will receive an email with a link to register. Once logged in, they’ll access the Academy from within the SCOTSMAN® App. They must complete the Foundation Training before they can access any opportunities.
How do I set up teams and sub-teams?
If you’re an Admin, you can create and manage teams by going to:
Administration → Identity Management → Teams
To add a sub-team, click the down arrow next to the name of the primary team, then select “Add sub team.”
You can assign Sellers and Managers to teams and sub-teams. This helps structure your organisation within the app — for example, by region, business unit, or product line — and controls visibility for managers.
Can I see my team’s opportunities?
Yes — if you have the Manager role and are assigned to a team, you can see all opportunities owned by users within that team.
This visibility allows you to review pipeline quality, coach individual sellers, and help plan next steps on deals.
Note: Admins do not automatically have access to team opportunities unless they are also given the Manager role and added to the relevant team.
Can I customise the SCOTSMAN® questions for my team?
Yes — if you have the Admin role, you can customise the SCOTSMAN® questions to better reflect your sales process or terminology.
Each company can create different question profiles, allowing you to tailor the SCOTSMAN® form for different teams, regions, or opportunity types. This is managed from the Question Profiles section under Administration.
Only Admins have access to edit or create question profiles. Changes made to a profile will apply to all users assigned to it.
Integrations & Support
Can I integrate the SCOTSMAN® App with our CRM?
The SCOTSMAN® App does not currently integrate directly with CRM systems — but stay close, as new updates are planned later this year.
